Information we collect

When you create an account, post a job, create a candidate profile, or contact us, we receive the information you provide. Candidate profiles include a name, required contact email and phone number, desired title, location, work summary, skills, and an optional résumé file. Contact details are shown through the profile’s protected contact options, not public directory cards. Existing profiles require a phone number when next submitted or edited. Profile résumé files are stored in protected storage, with downloads limited to the profile owner, site administrators, and employers permitted to view the published profile. An Apply Now application includes contact details, an optional message and a résumé stored privately for the receiving employer to review in their dashboard. Applying does not create a public candidate profile or require an account.

How information is used

We use this information to operate the job board, display listings and profiles, enable employer and candidate contact, prevent abuse, and provide support. Candidate profiles are intended to be searchable by signed-in employers. New applications are saved in the receiving employer’s private Applicants dashboard. An email notification links the employer back to that dashboard; it does not attach your résumé. Authorized site administrators may access application information for support, safety and privacy requests.

Your choices

Do not upload Social Security numbers, banking details, passwords, birth dates, or other highly sensitive identifiers. You can manage active listings or profiles from the appropriate dashboard. For access, correction, deletion, or privacy questions, email dikran@justjobboard.com.

Retention and safety

Jobs pause from search after fourteen days without an availability confirmation; candidate profiles pause after thirty days. These availability timers do not permanently delete saved details or résumé files. Reopening follows account, membership and review rules. Candidates can still browse and apply while their profile is paused. Backups and copies held by employers or search engines are separate. We use WordPress and related service providers to host and protect the site. No internet service can guarantee absolute security.

Availability information

We store the listing owner’s availability choice and confirmation dates to show dated availability, order relevant matching results and pause stale listings. Confirmation is self-reported, not independent verification. Candidate confirmations are not a public activity feed; existing employer access restrictions remain. This feature does not add marketing emails, text messages or a paid refresh charge. Your existing account and privacy-request options still apply.

Applications and saved candidates

New applications and their résumé files remain available on Just Job Board for up to ninety days, unless removed sooner by the employer or through a verified privacy request. Expired applications become inaccessible and are deleted by scheduled cleanup. Hosting backups may retain separate copies according to the hosting provider’s backup schedule. Employers are responsible for their own downloaded copies and applicable recordkeeping obligations. Saving a profile from Find Candidates does not mean that person applied or expressed interest. Saved profiles continue to respect current visibility and contact-access settings. Private organization statuses are not shared with other employers or displayed on the candidate’s public profile.

Private messages

Private messages let employers and candidates communicate about an application or candidate profile. Candidates need a completed candidate profile and must sign in; employers must sign in to their employer account. An application that is not linked to a profile requires a one-time email confirmation and your explicit confirmation while signed in. A matching email address alone does not grant access.

Messages are visible to the participants. Reporting a conversation also makes it available to authorized site administrators for safety review. Email notifications link back to the website; they do not include the message text or resume. Blocking stops further messages in that conversation.

Messages are available for up to 90 days from the conversation’s creation, or less if the application expires or is removed, a participant account or linked profile is deleted, or a verified privacy request removes them. Expired messages become inaccessible and scheduled cleanup removes them. Hosting backups and participants’ independent copies can remain under their respective retention policies. Phone and email remain available as text under our existing contact-access rules. Do not send sensitive documents in messages. This feature does not send SMS or offer attachments.

Your private My Jobs organizer

Signed-in candidates can save available jobs and keep a minimal receipt of new applications submitted while signed in. Earlier applications and guest applications are not imported by matching email addresses. Receipts contain the job title, company, location, submission time and your own progress, not a second resume copy or the employer’s private notes. Your progress is visible to you and authorized site administrators, not to employers.

Saved entries expire after up to 90 days from saving. Submitting an application creates a receipt that expires after up to 90 days from submission. Changing progress does not restart that period. Expired entries become inaccessible and are removed by scheduled cleanup; hosting backups may have a separate retention period. A minimal receipt can remain until its expiry if the listing closes or the employer removes their application copy. You can remove entries or request export/erasure. Deleting your account removes your organizer.

AI assessment when you submit an application

The current application form explains AI assessment before the Submit application button. Submitting that form shares your application with the receiving employer and sends the relevant job posting and your submitted resume, or the candidate profile you explicitly select, to OpenAI for comparison of stated requirements and written evidence. There is no separate AI checkbox. Include all relevant skills and experience to help employers understand your fit for the job you want.

This applies to new applications submitted through the disclosed standard-assessment form. Earlier applications retain the choices recorded when they were submitted, including earlier refusals. We do not backfill earlier applications or assess profiles saved from search. If an older form remains open, its original optional choice is honored.

For profile comparisons we use relevant written skills, qualifications and experience rather than separate phone, email, address, photo, school-name or employer-name fields. A resume file may contain personal details you include in it. The service is instructed not to judge protected characteristics or demographic proxies. Do not include sensitive information unnecessary for the application.

OpenAI API content is not used to train models by default. Standard abuse-monitoring logs may retain content for up to 30 days, with exceptions for legal or safety needs; we do not promise zero data retention. Requests use store=false and no web browsing or external tools. The notice version, submission action and comparison are stored privately with the application and expire with it after up to 90 days; hosting backups can have a separate retention period. Historical optional applications retain their original consent record instead. Authorized administrators and the receiving employer can access the comparison. You may request an export or erasure through our privacy contact. Erasure on our site does not retroactively prevent processing already completed or remove provider logs immediately.

AI can make mistakes. Every application remains available to the employer in its existing order. AI does not reject, hide, rank or change application status. Employers make hiring decisions. File, budget or service limits may leave an application without an assessment.

Job writing helper

When an employer chooses Build my posting, the description they enter is sent to OpenAI to organize the job details. Include only intended job and company information, not applicant information or confidential data. Review and correct every field before submitting. The helper does not publish automatically.

The composer does not keep a separate database copy of the description or AI result. It keeps a small account-linked request counter to prevent misuse, which can be removed through a privacy-erasure request. Jobs and drafts you choose to save follow the normal site retention rules. The OpenAI data-handling information in the AI-assessment section above also applies to this helper.
